Booking systems in Malta: a guide
Custom or ready-made, deposits, reminders and what an online booking system costs in Malta.
Systems & automation · Rental bookings
A rental booking system shows customers which cars, scooters, boats, bikes or equipment are free for their dates, lets them book and pay a deposit online, and runs the rest of the hire for you: pick-up and return times, extras, the rental agreement, check-out and return photos, and releasing the deposit. For a hire business in Malta or Gozo it means no double-booked units in August, fewer emails asking “is it available?”, and a fleet calendar the whole team trusts. Many hire firms can use ready-made rental software; custom pays off when your units, locations or pricing do not fit one.

Malta Digital sets up ready-made rental software when it fits and builds custom rental booking systems for hire businesses in Malta and Gozo when it does not.
The short answer
A rental booking system is a live calendar of everything you hire out, connected to a booking page. The customer chooses dates, times and a pick-up point, sees which vehicles, boats or items are available and what they cost for that period, adds extras such as a child seat, a second driver, snorkelling gear or delivery to their hotel, and books with a deposit or full payment.
Behind the booking page, the system keeps each unit’s calendar honest. It blocks the time needed to clean, refuel or charge between hires, takes units out of service for maintenance, and warns you when a return is late and the next customer is waiting. On the day, staff open the booking on a phone, check the customer’s documents, take photos of the unit’s condition, and get the agreement signed on screen.
The result is less admin and fewer mistakes. Nobody promises the same boat twice, nobody hunts through emails for a booking reference, and the owner can see which units earn money and which sit idle.
The problem
Many rental businesses in Malta still run on a spreadsheet, a wall calendar and a busy inbox. A tourist emails from Germany in March asking about a car for a week in July; someone checks the sheet, replies the next day with a price, the customer replies three days later, and by then the car has gone to someone who phoned. Multiply that by every enquiry in summer and you lose bookings simply because the answer is slow.
Double bookings are the expensive mistake. Two staff take bookings for the same scooter, or a boat comes back late and the next family is standing on the quay in Sliema with nothing to take. Each one means a refund, a bad review and an upgrade you did not plan to give. Damage disputes are the other one: without clear photos at pick-up and return, it is your word against the customer’s.
Peaks make it worse. In July and August a small hire firm can get more enquiries in a week than in the whole of February, often late at night from people in other time zones. Without online booking, those people book whoever lets them pay in two minutes.
How it works

The customer starts on your website, your Google profile or a link you send on WhatsApp. They pick dates and times, a pick-up point such as the airport, your office in St Paul’s Bay or the Mġarr ferry terminal in Gozo, and see only what is free for that period. Prices follow your rules: per hour, half day, day or week, with higher rates in peak season and a minimum hire on busy weekends if you want one.
At booking they pay a deposit or the full amount and agree to your terms. The system sends a confirmation, and a reminder before pick-up with the address, opening times and what to bring, such as a driving licence or ID. If you need documents in advance, they upload them before arrival, which shortens the queue at the counter.
At pick-up, staff open the booking, check the documents, walk round the unit taking photos that attach to the booking, and get the agreement signed on a tablet or phone. At return they do the same check, record fuel, charge or hours, and close the booking. If everything is fine, the deposit hold is released; if not, the photos and notes are already there.
Features that matter

Units or categories. Some businesses sell a specific item, such as a named boat. Others sell a category, such as “small automatic car” or “125cc scooter”, and assign the actual unit at pick-up. The system should support the way you work, because category booking lets you fill the fleet far more efficiently.
Buffers, maintenance and late returns. Set how long each unit needs between hires to clean, refuel or charge, and block units for servicing. Late returns should trigger a warning to staff and, if needed, a message to the next customer, before they are standing at your door.
Locations and delivery. Many Malta hire firms deliver to hotels, the airport or the ferry. The system should know which locations each unit can start from, charge delivery fees by area, and give drivers a clear daily list of drop-offs and collections.
Extras and rules. Child seats, extra drivers, insurance options, life jackets, fuel policy, whether a car may go to Gozo or a boat may go to Comino: these rules belong in the booking, not in an email. Write them once and every customer sees the same terms.
See it working
Rental customers compare options the way travellers compare trips: dates, filters, prices and a clear next step. This travel agency demo shows departures, filters and an enquiry flow, the same pattern a good rental booking page follows.

Deposits and damage
Most hire businesses take some form of security. Online, that is usually either a paid deposit or a card hold, also called a pre-authorisation, which reserves an amount on the customer’s card without charging it and is released after the return. Card payments in the EU use strong customer authentication, so the customer confirms with their bank app; the booking system and your payment provider should handle that without sending them elsewhere. Check how long your provider allows a hold to stay open before you set your rules.
The rental agreement should be generated from the booking, with the customer’s name, the unit, the dates, the extras and your terms filled in, and signed on screen. It saves paper, avoids illegible forms and means you can find any agreement in seconds when there is a question months later.
Photos are the cheapest insurance you can buy. A short walk-round at pick-up and return, saved with the booking and time-stamped, settles most damage questions before they become disputes. Be clear in your terms about what you charge for and how, and apply it the same way to everyone.
Ready-made or custom
There is good ready-made rental software for cars, boats, bikes and equipment, usually for a monthly fee, sometimes plus a percentage of each booking. For a hire business with a standard fleet, one location and simple pricing, it is often the fastest and cheapest route. Check the booking fee, whether the booking page can sit on your own website and domain, whether you keep the customer data, and whether it supports your deposit method.
A custom rental system makes sense when your business does not fit the template: mixed fleets, such as cars and boats or bikes and tours, with different rules; several locations with transfers between them; hire combined with tours, transfers or experiences; trade customers with accounts and monthly invoices; or tight links to your accounting, insurance or tracking systems. Custom business systems from Malta Digital start from €7,500, excluding VAT, and larger projects may qualify for Digitalise your SME co-funding, subject to eligibility and approval.
Whichever you choose, move one season’s bookings over carefully and run the old and new systems side by side for a short time, so nothing booked months ahead is lost.
| Spreadsheet and email | Ready-made rental software | Custom rental system | |
|---|---|---|---|
| Best for | Very small fleets with few bookings | A standard fleet, one location, simple pricing | Mixed fleets, several locations, hire plus tours or transfers, trade accounts |
| Availability | Checked by hand, double bookings likely | Live, per unit or category | Live, built around your own rules |
| Deposits and agreements | By hand at the counter | Built in, depending on the payment provider | Your deposit method, agreement and accounting connected |
| Price | Staff time and lost bookings | Monthly fee, sometimes plus a fee per booking | From €7,500, excluding VAT; may qualify for Digitalise your SME co-funding |
Rules and data
Hire vehicles and hire craft in Malta need the right licences and insurance, usually through Transport Malta. A booking system does not replace any of that, but it can store each unit’s licence, insurance and service dates and warn you before they expire, so an expired document never reaches a customer.
Driving licences and ID documents are personal data under GDPR. Collect only what you need, keep it secure, limit who can see it, and delete it when you no longer need it. Say in your privacy notice what you collect and why. The IDPC is Malta’s data protection authority if you need guidance.
If you add a chat assistant to answer questions like “can I take the car to Gozo?”, it must tell customers it is an AI under the EU AI Act, and hand over to a person when it is unsure.
How we do it
We start by following a real hire from enquiry to deposit back: how bookings arrive, how you check availability, how you price, what happens at pick-up and return, and where things go wrong. Then we recommend the simplest setup that works. Often that is ready-made rental software, configured with your fleet, prices and rules and connected to your website, Google profile and WhatsApp.
When your business needs more, we build a custom rental system around your units, locations, pricing and agreements, connect it to your payment provider and accounting, test it with real bookings and train your team before peak season. See our case studies for real results from our work, and our booking systems page for what we build.
A few straight answers
Software that shows which units are free for the customer’s dates, takes the booking and deposit online, and manages pick-up, return, the rental agreement, check photos and the deposit release.
Yes, if it supports different rules per category, such as hourly hire for boats and daily hire for cars. Many ready-made tools focus on one type; mixed fleets often need a custom setup.
Either the customer pays a deposit, or you place a card hold (pre-authorisation) that reserves an amount without charging it and is released after the return, within the time your payment provider allows.
Keep every booking, from the website, phone, WhatsApp and partners, in one live calendar, and set buffer times between hires. Two calendars are how double bookings happen.
Yes. The system can ask for documents after booking, which shortens pick-up. Treat them as personal data: keep them secure and delete them when no longer needed.
Malta Digital’s custom business systems start from €7,500, excluding VAT. For a standard fleet at one location, ready-made rental software set up properly is often enough.
