CRM ROI Calculator: What Lost Leads and Admin Time Cost You | Malta Digital

Free tool · CRM calculator

Lost leads and
time cost calculator.

This calculator estimates what having no proper system costs you each month, using only your own numbers: how many enquiries you get, how many are missed or answered late, how many you normally win, what a sale is worth, and how many hours go on manual admin. There are no industry averages or borrowed benchmarks in it. The result is an estimate based on what you type, so the more honest the numbers, the more useful the answer.

Short answer

To estimate what having no CRM costs you, multiply your monthly enquiries by the share answered late or not at all, by your own win rate and by your average sale value, then add your weekly admin hours × hourly cost × 52 ÷ 12. This free calculator from Malta Digital does that maths using only your numbers, with no industry averages, and labels the result as an estimate.

Key takeaways

  • How do I calculate the ROI of a CRM? Estimate what missed enquiries and manual admin cost you now, using your own numbers, then compare that with the cost of the CRM and its setup.
  • Does the calculator use industry averages? No. Every number comes from what you type. There are no benchmarks or averages built in.
  • Is the result accurate? It is an estimate based only on your numbers and the assumption that missed enquiries would convert at your normal win rate.

The calculator

Put in your own numbers.

Fill in the six boxes. If you are not sure, take the last month and count. The result updates as you type, and nothing leaves this page.

How it works

The maths, in plain words.

Missed sales = enquiries per month × % unanswered or late × your win rate × average sale value. In other words: the enquiries that slipped, multiplied by the share you normally win when you do reply on time, multiplied by what a customer is worth.

Admin time = admin hours per week × hourly cost × 52 ÷ 12, which turns weekly hours into a monthly cost.

The total is the two added together, and the yearly figure is that total × 12. That is all. If you leave the sales boxes empty, you still get the admin cost, and the other way round.

Getting your numbers

How to find honest figures.

Enquiries: count every channel for two weeks, including WhatsApp, calls, Facebook and Instagram messages, lead ads and email, then double it. Late or missed: look back at last month’s enquiries and mark any that waited more than a working day, or never got a reply. Win rate: of the enquiries you answered properly in the last three months, how many became customers? Sale value: use your average first order, or your average yearly value if customers come back. Admin hours: ask the team to note time spent retyping, searching and chasing for one week.

Reading the result

What the number does and does not mean.

The result assumes that enquiries you missed would have become customers at your normal win rate if you had answered on time. In real life some would not, and some would have been worth more. It is not a forecast and not a promise of savings. Use it to decide whether the problem is big enough to fix, and to compare the cost of doing nothing with the cost of a system.

A CRM does not create demand. What it does is make sure every enquiry is captured, answered and followed up, and that the admin is done once instead of three times.

Next step

If the number is bigger than you expected.

Start with the cheapest fix that works. For a small team that is often a ready-made CRM with a proper setup. If your process does not fit one, Malta Digital builds custom CRM systems for businesses in Malta and Gozo from €7,500, excluding VAT, and larger projects may qualify for grant co-funding.
