What is a CRM?
What a CRM does, the signs you need one, ready-made vs custom, and GDPR basics in Malta.
Free download · CRM checklist
This is a free CRM setup checklist for businesses in Malta and Gozo: 38 steps, in order, from deciding what the CRM must fix to choosing ready-made or custom, GDPR and EU data, moving your data, connecting WhatsApp, forms, lead ads, email and accounting, automating the basics, launching and checking grant funding. Tick it off on screen, print it or download the PDF.

A CRM setup goes in this order: agree what it must fix and who owns it, define the pipeline stages, choose ready-made or custom, check GDPR and EU data storage, clean and import your data, connect WhatsApp, forms, lead ads, email and accounting, automate replies and reminders, then train the team and switch off the old spreadsheet. Malta Digital’s free checklist covers each step and comes as a printable PDF.
The checklist
Work through it in order. Most CRM projects that fail skip the first section, so do not jump straight to the software.
Tick items as you go. Your ticks are saved in this browser only.
The steps people skip
Agreeing the stages. If two people mean different things by “quoted”, the reports are wrong from day one. Write each stage in one sentence before anyone imports a contact.
Cleaning the data. Importing three old spreadsheets full of duplicates gives you a new system with old problems. Clean first, import a test batch, then the rest.
Switching off the old way. If the spreadsheet stays open, the team keeps using it. Pick a date when it becomes read-only.
GDPR in Malta
A CRM holds personal data, so GDPR and Malta’s Data Protection Act (Cap. 586) apply. Keep data in the EU where you can, sign a data processing agreement with each provider, give staff only the access they need, record consent for marketing and decide how long you keep old leads. The IDPC’s guidance for organisations is the official place to check.
Apply now and tell us where you are with your CRM. We’ll tell you what we’d do next, or message us on WhatsApp.
Need a hand?
If you get stuck at section 2 or 5, it is usually a sign the setup needs more than a weekend. Malta Digital sets up ready-made CRMs when they fit and builds custom CRM systems from €7,500, excluding VAT, when they do not.
