Restaurant booking system
One live diary for website, Google, Instagram and WhatsApp bookings, with reminders, deposits for big groups and fewer no-shows.
Systems & automation · Booking
Most Malta businesses should start with a ready-made booking app. Choose custom when seats, staff, deposits or invoices do not fit one diary. This guide compares both by industry, with a feature checklist and a short quiz. Malta Digital builds custom booking systems from €7,500 when an app is not enough.

For most salons, clinics and restaurants in Malta, a ready-made booking app is the best first step. Pick custom when you share resources across sites, sell tours or fleets, need tight deposits, or must feed client VAT invoices and other systems. Use the checklist and quiz below, then talk to us on booking systems in Malta if custom looks likely.
Start here
“Best” is the setup your team will actually use. In Malta that usually means mobile booking, clear availability and reminders that arrive on a local number. It also means you keep the guest list if you leave the tool.
Ready-made apps win on speed and monthly cost. Custom wins when your rules are odd. Many owners buy an app, then add connections. Only a smaller group needs a full custom build. Our booking system page explains when we build custom.
Tourism stays a major part of Malta’s economy. The Malta Tourism Authority publishes industry guidance and statistics for operators. That demand is why diaries fill from websites, Google, hotels and WhatsApp at once.
A good booking system also cuts double work. Guests stop sending the same request on WhatsApp, Instagram and the phone. Your team works from one diary. That is the bar we use when we say a setup is “best” for a Malta shop.
Price is not only the monthly fee. Count payment fees, SMS fees and staff time spent on workarounds. An app that needs a spreadsheet beside it is not cheap.
Industry checklist
Use this as a buying list, not a league table. Tick what you truly need. Ignore shiny extras. +356 SMS means a Malta-friendly reminder path. Deposits mean money taken before the visit. VAT invoice means the booking may need to support how you invoice clients under Malta VAT rules (see the Value Added Tax Act, Cap. 406).

| Industry | +356 SMS | Deposits | Client VAT invoices | Often best first step |
|---|---|---|---|---|
| Salon / barber | High value | Optional | Sometimes | Ready-made app |
| Clinic | High value | Often | Often | Ready-made, then connect |
| Restaurant | Confirmations | Peak nights | Guest receipts | Reservation app |
| Hotel / spa | High value | Common | Common | Connect or custom |
| Tours / activities | High value | Common | Often | Custom more often |
| Fleet / skip hire | Driver updates | Optional | Job invoices | Custom |
Before you sign any app, read four lines in the contract: commission, SMS fees, data export and who owns the guest list. If those fail, the “cheap” plan gets expensive.
Deposits need clear cancel rules. Guests in Malta and visitors both need to understand what they pay and what they get back. Put the rule on the booking screen, not only in an email.
Client VAT invoices are a separate topic from our package prices. If your accountant needs line items or exemption notes, check that the tool can export or create them. Cap. 406 sets the legal frame; your advisor applies it.
Quiz
Answer eight short questions. The quiz stays in your browser. It scores ready-made, app-plus-connections, or custom. It is a guide, not a quote.
8 quick questions · about 2 minutes · answers stay in your browser
If the quiz points to custom, still ask whether a connected app would cover 80% of the pain. Custom from €7,500 should buy rules an app cannot hold.
Bring real examples to the call: a Saturday night floor plan, a two-boat day, or a clinic with rooms and equipment. Abstract feature lists hide the pain. Concrete days reveal it.

Proof
When bookings sit next to family records, staff and payments, a single app often breaks. A childcare agency case study shows a CRM and booking platform shaped around that work. Names are withheld. Screens use sample data.

That project is about fit, not a promised no-show rate. Your industry will differ. The point is the same: build around the real day, then train the team.
We also publish a free no-show cost calculator if you want to size the money first. Use your own appointment value. Do not copy someone else’s percentage.
Privacy and funding
A booking system holds personal data. Under the GDPR, if you decide why and how that data is used, you are a controller. Malta’s supervisory authority is the IDPC. Ask every vendor where data is hosted, how long it is kept and how you export it.
Larger digitalisation projects may seek co-funding under Digitalise your SME on fondi.eu. Next cut-offs shown on that page when we checked on 5 Nov 2026 included 13 Nov, 30 Nov and 14 Dec 2026. Eligibility and approval sit with the funding body.

A few straight answers
There is no single winner. Salons and clinics usually do well on a ready-made app with +356 SMS. Restaurants often use a reservation app. Tours, fleets and multi-site groups more often need custom. Match the tool to your rules, not to a brand name.
Choose custom when one app forces daily workarounds: shared boats or vehicles, agent allotments, complex deposits, client VAT invoices, or links to CRM and ads. Our custom projects start from €7,500.
Yes, many Malta apps and custom builds can. Check the per-message cost and the sender setup before you sign. Email alone is cheaper but often weaker for no-shows.
VAT on what you charge customers is a client-invoice topic under Malta VAT rules. Your booking tool may need to pass totals to accounting. Malta Digital prices for our work are shown without VAT wording because we are not VAT registered.
Larger projects may qualify under Digitalise your SME on fondi.eu, subject to eligibility and approval. The scheme part-finances digitalisation for SMEs. The funding body decides.
