Restaurant Booking System: How to Take Table Reservations Online in Malta | Malta Digital

Restaurant booking
system
in Malta.

A restaurant booking system lets guests reserve a table online, from your website, Google, Instagram or a WhatsApp link, at any hour, and puts every reservation, walk-in and phone booking into one live diary your team works from. For a restaurant in Malta or Gozo it means fewer calls during service, no double-booked tables on busy nights and fewer empty seats from no-shows, thanks to automatic confirmations, reminders and, where it makes sense, a deposit. Most restaurants should start with a good ready-made app; custom only pays off when your rules, venues or events do not fit one.

Short answer

A restaurant booking system lets guests reserve a table online from your website, Google, Instagram or WhatsApp and puts every booking, walk-in and phone reservation into one live diary, with automatic confirmations, reminders and deposits for big groups. Malta Digital sets up ready-made apps when they fit and builds custom restaurant booking systems in Malta and Gozo when they do not.

Key takeaways

  • What is a restaurant booking system? Software that lets guests reserve a table online from your website, Google or Instagram, and puts every booking, walk-in and phone reservation into one live diary with confirmations and reminders.
  • How do I add a booking button to Google and Instagram? Connect your booking system to your Google Business Profile through a supported booking partner, or add your booking link, and add the same link as a Reserve or Book button on Instagram and Facebook.
  • Should my restaurant take deposits? Only where no-shows really hurt: large groups, set-menu evenings, peak dates and small venues. State the amount and refund rules clearly before the guest books, and keep normal tables free of deposits.

The short answer

What a restaurant booking system does.

At its simplest, a restaurant booking system replaces the paper diary next to the phone. Guests see the times you actually have free, choose a party size and a time, and get an instant confirmation. Your team sees the same bookings on a tablet or phone, with the table, the number of covers and any notes, such as a high chair, a birthday or a terrace request.

A good system does more than take the booking. It sends a reminder the day before, lets the guest cancel or change the time without calling, holds a deposit for big groups or peak nights if you want one, and remembers regulars so the team can greet them properly. It also gives the owner simple numbers: covers per service, no-shows, where bookings come from and how far ahead people book.

The point is not technology for its own sake. It is a calmer service: the phone rings less at 20:00, the host knows exactly who is coming, and fewer tables sit empty because someone forgot.

The problem

Why phone and WhatsApp bookings cost covers.

Most restaurants in Malta still take bookings in four places at once: the landline, the owner’s WhatsApp, Instagram messages and the odd email. On a Friday in August that means a manager answering the phone with a tray in one hand, a booking written on the back of a docket, and a WhatsApp reply that goes out two hours too late, after the couple has already booked somewhere else in St Julian’s.

The cost is real even if nobody measures it. Calls missed during service are bookings lost. Two people writing in two diaries is how the same table for eight gets promised twice on a festa night. And a group of twelve that simply does not turn up on a Saturday in December is a whole evening’s margin gone, with no way to fill the seats at short notice.

Tourists make it harder. A visitor staying in Sliema plans dinner on their phone, often late at night and in their own language, and expects to book in a few taps. If the only option is a phone number, many will not call; they will book the place that had a button.

How it works

From a tap on Instagram to a seated table.

Diagram: a guest finds the restaurant on Google, Instagram or the website, picks a time from real availability, gets an instant confirmation, receives a reminder the day before with a link to change or cancel, and arrives at a table the team already assigned
Example booking flow. Times and messages are examples; set them to how your restaurant runs.

The guest starts wherever they found you. A Reserve or Book button on your website, your Google Business Profile, your Instagram profile and your Facebook page all open the same booking page, so there is only one diary and one set of rules. The page shows real availability based on your tables, opening hours and how long a sitting lasts, and asks only for what you need: name, phone, party size and an optional note.

The confirmation goes out straight away, by email, SMS or WhatsApp, with the date, time, address and a link to change or cancel. The day before, a short reminder asks the guest to confirm. If they cancel, the table goes back on sale automatically, often in time for someone on the waiting list or a walk-in.

Behind the scenes, the team sees the evening as a table plan: who is arriving when, which tables turn at 21:00, which booking has a deposit and which regular always asks for the corner table. Walk-ins and phone bookings go into the same diary, which is the only way to stop double bookings for good.

Features that matter

What a restaurant needs from it.

Sittings and turn times. Set how long a table is held for two, four or eight people, and separate lunch, early dinner and late dinner. This is what lets you fit a 19:00 and a 21:15 on the same table without the second party waiting at the bar. Get it wrong and the system either leaves gaps or overbooks the room.

Areas and table plan. Inside, terrace and bar are different products in Malta: the terrace sells out in summer and closes when the wind picks up. A good system lets you open and close areas, mark tables as combinable for groups, and let guests ask for an area without promising a specific table.

Groups, events and deposits. Large groups, set menus, Christmas lunches, weddings and private hire need different rules from a table for two. Usually that means a request form rather than instant booking, a set menu choice, and a deposit or card guarantee that the guest agrees to when booking. Keep normal tables free of deposits unless no-shows are a real problem; friction loses bookings.

Languages and messages. With so many visitors, the booking page and messages should at least work in English, and ideally in the guest’s language. Messages should carry the address and a map link, because “Triq il-…” is hard to find for someone who has never been to Marsaxlokk.

No-shows

Deposits, reminders and the no-show problem.

Three columns: remind every booking with a confirmation, a reminder the day before and one-tap cancel; guarantee only big groups, set menus and peak dates with clear refund rules; refill freed tables from a waiting list or walk-ins
Start with reminders. Add deposits only where your own numbers show they are needed.

Reminders do most of the work. A message the day before with a one-tap confirm or cancel catches the people who changed plans and simply forgot to tell you. Ask guests to confirm, and treat an unconfirmed big booking as a reason to call, not to panic. Our guide to appointment reminders covers timing and wording in detail.

Deposits and card guarantees are for the bookings where a no-show really hurts: big groups, set-menu evenings, peak dates such as New Year’s Eve, and small restaurants with few tables. Card payments online in the EU use strong customer authentication, so the guest confirms with their bank app; the system should handle that without the guest leaving the page. State the policy clearly before they book: how much, when it is refunded and when it is kept.

The common mistake is to make every booking pay. A couple booking a Tuesday lunch does not need to hand over card details, and many will not. Use the data from the first months to decide where deposits are worth it, rather than guessing.

A booking system only works if the website around it is clear. This demo shows a café site with the menu, opening hours and a clear route to visiting, the kind of page a Reserve button sits on.

Ready-made or custom

A ready-made app or a custom system?

For most restaurants the honest answer is a ready-made reservation app. Several work well in Malta, some are free at low volumes, and some charge a monthly fee or a fee per cover. They are quick to set up and already connect to Google and a website widget. Check three things before you sign: whether there is a commission per guest, who owns the guest list if you leave, and whether reminders by SMS or WhatsApp cost extra.

A custom booking system makes sense when the standard apps force workarounds. Typical cases are a group with several venues and shared guests, a hotel restaurant that must see room guests, a beach club with sunbeds, cabanas and tables, a venue that sells events and private dining packages, or a business that wants bookings, the CRM and the ads connected so it can see which campaign filled which table. Custom booking systems start from €7,500, excluding VAT, and larger projects may qualify for co-funding under the Digitalise your SME scheme, subject to eligibility and approval.

There is a middle path too: keep a ready-made booking app and connect it to your website, WhatsApp and customer list. That often gives most of the benefit for a fraction of the cost.

Guest data

Guest data, GDPR and marketing.

A booking system collects personal data: names, phone numbers, emails and notes. Under GDPR you may use it to manage the booking, send confirmations and reminders, and handle a deposit. Using the same list for newsletters or offers is a different purpose and needs the guest’s consent, usually a clear tick box that is not pre-ticked.

Be careful with notes. Allergies and dietary needs can count as health information, so record only what the kitchen needs for that booking and do not keep it longer than necessary. Make sure only staff who need the diary can see it, and that former staff lose access when they leave.

Done properly, the guest list becomes one of the most valuable things the restaurant owns: regulars you can invite back for a new menu, and past guests you can reach on Facebook and Instagram with your own audience instead of strangers.

Where AI helps

Where WhatsApp and AI fit in.

Many guests in Malta will still message rather than use a form. A WhatsApp assistant on the official WhatsApp Business Platform can answer the routine questions, such as opening hours, parking, whether you have vegan options, and offer real times from the booking diary, so a chat at 23:00 becomes a confirmed table instead of an unread message. It must say it is an AI assistant, and hand over to a person for groups, complaints and anything unusual.

AI can also help on the phone, by answering calls during service and taking the booking, and in the background, by spotting regulars, summarising the evening’s special requests for the kitchen, or drafting a reply to a group enquiry for the manager to check. Start with the booking page and reminders; add AI where messages and calls still pile up.

How we do it

How we set up restaurant bookings.

We start with a short call about how bookings come in today, how many covers you do, where no-shows hurt and what your team actually uses during service. If a ready-made app fits, we say so and help you set it up and connect it to your website, Google and Instagram. If it does not, we scope a custom system around your rules: sittings, areas, groups, deposits, messages and the reports you want.

We build and test it with your team on real evenings before it goes live, and train the staff who will use it. When we also run your Facebook and Instagram ads, bookings can be tracked back to the campaigns that brought them, so you see covers, not just clicks. See our case studies for real results from our ad accounts.

Connect your booking system to your Google Business Profile through a supported booking partner, or add your booking link, and add the same link as a Reserve or Book button on Instagram and Facebook.

Should my restaurant take deposits?

Only where no-shows really hurt: large groups, set-menu evenings, peak dates and small venues. State the amount and refund rules clearly before the guest books, and keep normal tables free of deposits.

Is a ready-made reservation app enough?

For most restaurants, yes. Check for per-cover commission, who owns the guest list and what reminders cost. Custom systems make sense for multiple venues, events, hotels, beach clubs or deep integrations.

How much does a custom restaurant booking system cost?

Malta Digital’s custom booking systems start from €7,500, excluding VAT. Larger projects may qualify for Digitalise your SME co-funding, subject to eligibility and approval.
