AI chatbot for business
What a website chatbot should and should not answer, GDPR and the AI Act, costs and how to start.
Systems & automation · AI receptionist
An AI receptionist answers your phone calls, and often your WhatsApp and website chats too, when your team cannot: it greets the caller, says it is an AI assistant, answers common questions, books or moves appointments in your diary and takes a clear message for everything else. For a small clinic, salon, garage or restaurant in Malta, its main value is catching the calls you miss while you are with a customer or after hours. It should never pretend to be a person, and it must hand over to staff for anything sensitive.

The short answer
A traditional receptionist answers the phone, books appointments, answers questions and passes on messages. An AI receptionist does the routine part of that job with a voice AI on the phone line, and with a text assistant on WhatsApp or your website. Callers speak normally; the system understands them, replies with a natural voice and takes action, such as putting a booking in your diary.
It is not the same as a phone menu (“press 1 for bookings”) or voicemail. A phone menu makes callers do the work, and many callers hang up on voicemail and try the next business on the list. An AI receptionist has a conversation and gets the job done, or at least captures exactly what the caller needs.
The honest picture is that it handles routine calls well and complex or emotional calls poorly. Plan it as a first line that answers every call and passes the hard ones to you with a clear summary.
Missed calls
Most small businesses lose calls without noticing. A hairdresser with her hands in someone’s hair, a mechanic under a car, a physiotherapist with a patient, a restaurant at the busiest hour of service: none of them can answer, and the caller rarely leaves a message. Some call back; many book somewhere else.
Before you buy anything, measure it. Your phone or provider can usually show missed calls by time of day. If you miss a few calls a week, a simple “sorry we missed you” text message with a booking link might be enough. If you miss several a day, or most of your bookings come in by phone, an AI receptionist is worth a serious look.
Think about after-hours too. Many people make personal calls in the evening, after their own working day, which is exactly when most small businesses are closed.
How it works

The AI receptionist is connected to your phone line, usually by forwarding calls to it when you do not answer within a few rings, or outside opening hours. It greets the caller, says it is an AI assistant, asks how it can help and listens. If the caller wants an appointment, it checks your diary through your booking system, offers times and books one. If they ask a question, it answers from your information: prices, opening hours, parking, what to bring.
After the call it sends a confirmation by text or WhatsApp and gives you a summary: who called, what they wanted and what was done. For anything it cannot handle, such as a complaint, a medical question or an unusual request, it takes a message and tells the caller when to expect a call back, or transfers the call if someone is available.
The diary connection is what makes it useful. An AI receptionist that cannot see your real availability can only take messages, which makes it little more than a smarter voicemail.
Malta specifics
Malta adds a few challenges. Many callers mix English and Maltese in the same sentence, and accents vary widely. Voice AI handles English and many other European languages well, but Maltese speech recognition is less mature, so test it with real callers and real place names, such as Żebbuġ, Birżebbuġa and Għajnsielem, before relying on it. Spelling out names and phone numbers is a common weak point too.
Tourist businesses benefit most from the languages AI handles well. A diving school, boat-trip operator or guesthouse can answer callers in English, Italian, German or French at any hour, which a small team rarely can.
Expect some callers to prefer a person. Make it easy: “Say ‘staff’ at any time and I’ll ask someone to call you back.” A receptionist that traps people in a loop does more harm than a missed call.

Tell us roughly how many calls you miss and when. We’ll suggest the simplest fix, AI or not.
The rules
Since 2 August 2026 the EU AI Act requires that callers are told clearly, at the start, that they are speaking with an AI system, unless that is obvious. A voice that sounds human makes it less obvious, so say it in the greeting: “Hello, you’ve reached the clinic. I’m the clinic’s AI assistant.”
Calls handled by AI are usually recorded and transcribed, which is processing of personal data under GDPR. Tell callers, cover it in your privacy notice, keep recordings only as long as you need them, and use providers with proper data processing agreements. Clinics and anyone handling health information must be particularly careful: let the AI book, move and remind, and leave anything about symptoms or treatment to qualified staff.
Do not use the AI to collect card details by voice. Send a secure payment or deposit link by text or WhatsApp instead.
Costs
AI receptionist services are usually charged as a monthly fee plus usage, often by the minute or by the number of calls, with the phone line and any booking system on top. Custom setups add a one-off build cost for the connections to your diary, CRM or WhatsApp. Ask for the cost per handled call and compare it with the value of a booking you would otherwise have lost.
There are cheaper steps before a full AI receptionist. A missed-call text with a booking link. Online booking on your website and Instagram, so fewer people need to call at all. A WhatsApp assistant that handles bookings by chat, which many customers in Malta prefer anyway. Often the best setup combines these, with the AI receptionist catching the calls that remain.
| Option | What it does | Best when |
|---|---|---|
| Missed-call text | Sends a text with a booking link after a missed call | You miss a few calls a week |
| Online booking | Lets customers book on your website and Instagram | Many calls are simple bookings |
| WhatsApp booking assistant | Answers and books by chat | Your customers prefer messaging |
| AI receptionist | Answers calls, books in the diary, takes messages | You miss several calls a day or most bookings come by phone |
How to start
Start with after-hours and overflow calls only, so the AI answers when nobody else can and never instead of a person who is free. Give it a short list of jobs: book, move or cancel appointments, answer the ten most common questions, and take messages for everything else. Listen to the first fifty calls, fix what it got wrong and ask a few regular customers what they thought.
Once it handles the routine well, decide whether to widen its hours or add WhatsApp and website chat, so every channel books into the same diary.
How we do it
We start by looking at your calls: how many you get, when you miss them and what people ask. We recommend the simplest setup that solves the problem, which is sometimes a booking system and a missed-call text rather than a voice AI. When an AI receptionist is the right answer, we set it up with your greeting, your information and your rules, connect it to your diary and WhatsApp, add the AI notice and handover, and test it with real calls in English and, where needed, other languages.
We quote after a short call, once we know your call volume and systems. Our AI automation page covers the rest of our work in this area.
A few straight answers
A voice and chat assistant that answers your calls and messages, books appointments in your diary, answers common questions and takes messages, handing complex calls to staff.
Yes. Since 2 August 2026 the EU AI Act requires callers to be told clearly at the start that they are speaking with an AI system, unless that is obvious.
Maltese speech recognition is less mature than English, Italian, German or French. Test it with real callers and local place names before relying on it.
Yes, when it is connected to your booking system or calendar. Without that connection it can only take messages.
For booking, moving and reminding, yes. Questions about symptoms or treatment should always go to qualified staff, and health data needs extra care under GDPR.
A missed-call text with a booking link, online booking on your website, or a WhatsApp booking assistant. Many businesses start there.
