HubSpot vs Zoho vs Pipedrive
A fair comparison on free plans, WhatsApp, EU hosting, setup and fit, and what to do when none of the three fits.
Systems & automation · CRM
A free CRM is enough for a small business when one or two people handle the enquiries, the sales process is simple and you mainly need one place for contacts, deals and follow-up reminders. It stops being enough when you hit the user or contact limits, need automation such as instant replies and reminders, or need it connected to your website, lead ads, WhatsApp and accounting. This guide explains what “free” really means, what the main free plans include, how to set one up in a week and the signs it is time to move on.

A free CRM is enough when one or two people handle enquiries, you have a few hundred contacts and a simple sales process. It stops being enough when you hit user or contact limits, need automatic replies and follow-ups, or need it connected to lead ads, WhatsApp, bookings and accounting. Malta Digital helps businesses set up a free CRM properly, or move on to a custom CRM when they outgrow it.
The short answer
Often, yes, at the start. If you are a sole trader or a team of two, get a handful of enquiries a week and sell in a simple way, a free CRM gives you what a spreadsheet cannot: a pipeline you can see, reminders to follow up and a history for each customer. That alone stops a lot of lost work.
The short version from Malta Digital: a free CRM is the right first step if you will actually use it every day, and the wrong one if your team or your process has already outgrown its limits. The plan is free; the time you spend setting it up, and moving away from it later, is not. So choose with the next two years in mind, not only today.
What free means

“Free CRM” covers three different things. A free plan is free with no end date, but with limits on users, contacts, features or automation. A free trial gives you the full product for a set number of days, then asks you to pay. An open-source CRM has no licence fee, but you or a developer must host it, secure it, back it up and update it.
Here is what some well-known options offered when we checked their official pages on 1 November 2026. Plans change often, so check the vendor’s page before you decide.
| CRM | Free option | Limits to know |
|---|---|---|
| HubSpot | Free tools, no time limit | Up to 2 users and 1,000 contacts on the free tools |
| Zoho CRM | Free edition | Up to 3 users and 5,000 records, with limited automation |
| Bitrix24 | Free plan | Basic CRM with limited storage and features |
| Pipedrive | No free plan; a 14-day free trial | You choose a paid plan after the trial |
When free is enough
A free plan usually fits when most of these are true: one or two people handle enquiries; you have a few hundred contacts rather than thousands; you sell in one simple way, such as enquiry, quote, won or lost; you do not need automatic replies or multi-step follow-ups yet; and you are happy to type in some enquiries by hand for now.
It is also a good way to learn what you need. A few months in a free CRM will show you which fields you really use, which stages your sales go through and where leads still get lost. That is valuable when you later choose a paid plan or brief a custom build.
The hidden costs
Time. Someone has to set up stages, fields and users, import the contacts and train the team. That is the same work on a free or paid CRM. Limits you hit later. When the third person joins, or your contact list passes the limit, you upgrade or start again. Missing automation. Many free plans have little or no workflow automation, so instant replies, follow-up sequences and reminders stay manual. Integrations. Website forms often connect easily; lead ads, WhatsApp and accounting may need a paid plan or a connector.
The biggest hidden cost is moving later. If you import a messy list now, you will move a messy list later. Keep it clean from day one: one contact per person, phone numbers in one format and clear stage names. Then moving to a paid plan, another CRM or a custom system is straightforward.
Malta specifics
WhatsApp. Most Maltese customers message rather than email. Check how the CRM handles WhatsApp, even if it is only a click-to-chat link on each contact for now. Phone numbers. Store numbers with +356 so WhatsApp links and duplicate checks work. Maltese letters. Test that names such as Ċensu, Ġorġ or Ħamrun save and search correctly. Data and GDPR. A free CRM still holds personal data. Check where the data is stored, sign or accept the vendor’s data processing terms and only collect what you need.
Invoices. A CRM is not your accounting system. Keep invoices in accounting software your accountant is happy with, and use the CRM for enquiries, quotes and follow-up.

A one-week setup

Day 1: stages. Agree four to six stages and what each one means, for example New, Contacted, Quoted, Won and Lost. Day 2: fields. Add only the fields you will really use, such as source, service and locality. Day 3: import. Clean your list first: remove duplicates, fix +356 numbers and check Maltese letters. Day 4: connect. Link your website form and, if you run them, your Facebook lead ads, so new enquiries arrive by themselves. Day 5: habit. Every enquiry gets an owner and a next step, and the team opens the CRM first thing each morning.
Our free CRM setup checklist covers the same steps in more detail and works for any CRM, free or paid.

Time to move on
You have outgrown a free CRM when you keep hitting the user or contact limit, when leads still arrive by email and get typed in by hand, when follow-ups depend on someone remembering, or when you need the CRM to talk to your bookings, quotes and accounting. Another sign: the team works around the CRM in spreadsheets because it does not fit how you sell.
Then there are two routes: a paid plan of a ready-made CRM, or a custom CRM built around your process. Our CRM quiz gives you a first answer in two minutes, the cost guide explains what each route costs, and the comparison of HubSpot, Zoho and Pipedrive covers the best-known ready-made options. Proof
When a business outgrows ready-made tools, the answer is often a system built around how it really works. For a childcare agency, we built a CRM and booking platform with an office action queue, a recruitment pipeline and a phone app for staff, replacing separate tools and spreadsheets.

How we help
If a free CRM is right for you, we will say so and point you to the checklist. If you have outgrown one, we map how your enquiries, quotes and customers move today, decide what to keep, and either connect a ready-made CRM properly or build a custom CRM with your stages, automations and integrations built in. We move your data across cleanly, so nothing is lost on the way.
Malta Digital’s custom CRM systems start from €7,500, excluding VAT, depending on users, workflows and integrations.
A few straight answers
Yes. Several CRMs have free plans with no time limit, such as HubSpot’s free tools, Zoho CRM’s free edition and Bitrix24’s free plan. Each has limits on users, contacts or features, so check them against your team and process.
The one your team will use every day and whose limits you will not hit soon. Compare the number of users, contacts and automations allowed, and check it connects to your website form and lead ads.
Usually a small number of users, a cap on contacts or records, little or no workflow automation, fewer integrations and limited reporting. Limits change, so check the vendor’s current page.
For managing enquiries, usually yes. A CRM gives you a pipeline, reminders and a history for each customer, which a spreadsheet cannot do on its own. Excel is still fine for one-off lists and analysis.
A CRM can be used in a GDPR-compliant way, but compliance depends on how you use it: a lawful basis for each contact, the vendor’s data processing terms, access control, and deleting data you no longer need.
